Request handling for service desks

Messy requests in. Routed tasks out.

Relayform reads what lands in your inbox, web forms and site chat. It pulls out the facts, sorts and routes the work, and drafts the reply. Then a person on your desk approves it, or nothing goes out.

Or run the bench below yourself.

Subject RE: FW: kitchen ceiling AGAIN??

Sent Tue 2:52 pm

hi, sorry to bother you again, i emailed about this in march.

the kitchen ceiling is dripping again, worse this time,

there’s a brown patch spreading near the light fixture and i’ve put a bowl down.

i think it’s coming from the apartment upstairs but no one’s answering the door.

I’m in 4C at Pennock House (the one on Parrin Rd, not the new building).

can be in tomorrow after 1 or thursday all day.

text me if that’s easier, you have my number.

also the hallway bulb is out but that’s not urgent!!

thanks, Dana

A–AInputs

Three ways in. One shape out.

Requests arrive however people feel like writing them. Relayform doesn’t ask them to change. It reads each channel on its own terms and writes the same card every time.

Hello, following up on the gutter quote from last week. Did anyone come by? The water still runs down the front wall when it rains.

How each channel is read
  • Email

Any shared inbox. Reads headers, body and signature. Attachments stay with the card; photos are kept, not read.

  • Web forms

Your existing form sends Relayform a copy. Field names are kept, and the free-text box is read like an email.

  • Site chat

Messages from your site chat, grouped into one request per conversation, with the times they arrived.

B–BOperations

Four operations. Each one shows its work.

Every field on a card points back to a line of the message or a rule you wrote. If it can’t point to one, it doesn’t write.

Extract

Reads

The message, its headers and the signature.

Writes

Named fields, each with the line number it came from.

Won’t

Fill a gap with a guess. A missing fact is written as Unknown.

Classify

Reads

The extracted fields and your rules.

Writes

Category, priority and the name of the rule that decided it. Splits a message that holds two jobs.

Won’t

Give you a confidence score. It shows the rule, which you can read and change.

Route

Reads

Category, location, your building or client list and today’s roster.

Writes

Team, assignee, who else to tell, and the review gate.

Won’t

Give work to someone who is off the roster, or skip the gate.

Draft reply

Reads

The card and your reply templates.

Writes

A reply in your words, with the gaps marked for the reviewer to fill.

Won’t

Send. A person presses Approve, or nothing happens.

Review by a person

Reads

The card beside the original message, line by line.

Writes

An approval, an edit, or a note that sends the card back.

Can’t be

Skipped. Every card is approved by a named person, and the audit trail says who.

C–CModules

Six modules on one rail.

Start with Intake and the Review desk. Add the rest when the desk asks for them. Each module is a plain screen your team works in, not a wall of charts.

M-01

Intake

  • help@orrin-rentals.exampleEmail
  • /repairsWeb form
  • Site chatChat

Checks for new messages every minute. Old mail stays where it is.

and it mentions light, outlet, switch, fuse
then priority P1, same day.

Rules are sentences. Anyone on the desk can read them; admins can change them and test them on last month’s mail first.

D–DReview

Prepared is not sent.

Relayform does the reading and the paperwork. It does not decide for you. Four states, four different facts, and only the first one is Relayform’s.

  1. By Relayform

    Prepared

The card and the draft exist. Nothing has left the building, and nobody outside your desk knows the card is there.

  2. By a person on your desk

    Reviewed

They see the card next to the original message, line by line, with every Unknown flagged at the top.

  3. By the same person

    Approved

One press. Their name and the time go into the audit trail. Returning a card is one press too.

  4. By your mail server

    Sent

Relayform hands over the approved reply and records the handover. Replies go out from your address, never ours.

E–EPilot

Thirty days. One inbox. Then decide.

A pilot runs on one real inbox with your own rules. Nothing replies to a customer without your team pressing Approve.

  1. Days 1–3

    Connect

One inbox, read-only. We load two weeks of past requests to test against.

  2. Days 4–10

    Rules

We write your rules with you in plain sentences and run them on those past requests.

  3. Days 11–24

    Desk

The review desk goes live. Your team approves every card. Nothing sends itself.

  4. Days 25–30

    Decide

Keep it, change plan, or stop. If you stop, you get the export and we delete your data.

F–FPricing

Priced per reviewer. Reading is free.

A reviewer is anyone who can approve a card. Managers, readers and auditors don’t count. Billed monthly, thirty days’ notice to cancel, prices before tax.

G–GAbout

Named after a relay room.

In a railroad relay interlocking, a signal can’t clear until every switch on the route has been proven. Nobody skips the proof because they’re in a hurry.

We build Relayform the same way, upstairs in the old signal tower at Lampwick Yard. A request can’t become a sent reply until a person has checked the route.

H–HQuestions

Practical questions.

If yours isn’t here, bring it to the walkthrough.

Does Relayform ever send anything by itself?

No. It prepares cards and drafts. Sending happens from your mail server after a person presses Approve, and the audit trail records who and when.

What happens when a message is unclear?

The field is written as Unknown, with the line that caused the doubt, and the reviewer sees it first. Relayform won’t fill a gap to make a card look complete.

Why no confidence scores?

A percentage looks precise and gives the reviewer nothing to check. A rule name tells them exactly why a card was sorted the way it was, and they can change the rule.

Can it read attachments?

It reads the text in PDFs and documents. Photos are kept with the card for the reviewer and the trade; Relayform doesn’t describe what’s in them.

Which tools does it connect to?

Any mailbox that speaks IMAP, any web form that can post to a webhook, site chat through a small script, and your ticket system through its API or by plain email. Exports are CSV or JSON.

Where is our data kept, and for how long?

Messages are kept for 90 days by default, and you can shorten that for each channel. On the Operations plan you choose the region the data lives in.

How long does setup take?

Connecting an inbox takes an afternoon. Writing rules that fit your desk takes about a week of real requests, which is why the pilot gives it ten days.
